Zapier vs n8n: automating your spreadsheets
Start with Zapier if nobody on your team writes code: you link a form, a CRM and Google Sheets in minutes, and its free plan covers your first automations. Move to n8n when your workflows get long or busy, because it charges per workflow run however many steps it has, while Zapier's bill grows with every task. n8n also runs on your own server, which keeps spreadsheet data in-house, but expect a harder setup.

Which one to pick
You want a new form entry or sale to land in a spreadsheet row today, without a developer, and your monthly volume is modest.
You have someone technical, run long workflows with many steps per row, or want to self-host so customer data stays on your own server.

Questions
Is Zapier or n8n cheaper for spreadsheet automations?
Zapier has a free plan, so small automations cost nothing. Its bill then grows with task volume, and each step that runs counts. n8n has no free plan in our data and charges per workflow run, however many steps it contains. For a ten-step workflow that runs often, n8n's model usually works out cheaper.
Do I need to code to use n8n?
Not for every workflow: you build them from visual nodes, as in Zapier. n8n also offers code steps, and self-hosting means running and updating a server. That is why we rate its setup as harder. If no one on your team is comfortable with that, Zapier is the safer start.
Can I move my Zaps over to n8n?
There is no one-click import, so you rebuild each workflow as nodes in n8n. Start with the Zap that uses the most tasks, since that is where the savings are. Run both side by side for a few days and switch off the Zap once the n8n version matches its output.
Which suits a freelancer and which a growing team?
Zapier fits anything from a solo freelancer to large teams, and the free plan lets you begin alone. n8n targets small to large technical teams. A freelancer tidying invoices into a sheet should start with Zapier. A team moving thousands of rows a month gets more out of n8n.
Can I keep my data in Europe?
With n8n you can run the software on your own server, for example one hosted in the EU, so your spreadsheet data does not pass through a third-party cloud. n8n also offers its own cloud if you would rather not manage a server. Zapier runs as a hosted service only. If GDPR or client contracts require control over where data sits, n8n self-hosted gives you that.
